Now They’re Gathering FDV Documentation on the Go

“Doing this work manually would have been extremely time-consuming,” says Kim Lammenes, Operations Manager at Smedvig Eiendom. Now they are organizing the documents for all their buildings with the help of artificial intelligence.

“We now have a clear overview of all our documentation, and we are always confident that it is up-to-date and in accordance with laws and regulations. It’s a game changer,” says the Operations Manager.
Smedvig Eiendom develops and manages commercial properties over 173,000 square meters in Norway and the United Kingdom. When they decided in 2023 to gain better control over their documentation, there was a lot to address.

“We have scanned 7-8 pallets of binders,” says Lammenes.

In addition, Smedvig’s FDV documentation was scattered across various inboxes, OneDrive accounts, and USB sticks.

“We had a lot of different documents in many different places. Findable has helped us sort everything out,” says Lammenes.

Shared Responsibility and Reduced Risk

The threshold for submitting documentation continuously has now been lowered, according to the Operations Manager. With the email function, it’s quick and easy to forward documents, and it can be done on the go.

“Now I tell my colleagues that if they have something we should keep, just email it to Findable. We can share the responsibility much more, and it also makes us more efficient,” says Lammenes.

Previously, each operations technician had their own digital system.

“Now we have a system that the entire organization can access. We know it won’t disappear, and it’s no longer dependent on individuals. That’s a big relief,” says the Operations Manager.

Valuable Documentation

In Findable, each building has a color-coded Deficiency Report that tells you whether you have the required documentation. This includes everything from service agreements, reports, drawings, fire safety documentation, and more.

“It’s a simple way to ensure the quality of what we need. It’s great to have a system that notifies us if something is missing so that we can obtain it. It’s a valuable resource to have,” explains Lammenes.

“Now it’s easier for us to find what we need in our daily operations. It makes management easier, and it definitely adds significant value,” says Lammenes.
