About Smedvig Eiendom
Smedvig Eiendom develops and manages commercial properties covering over 173,000 square meters in Norway and the United Kingdom. With a long history and a large portfolio, maintaining control over building documentation (FDV) is critical for compliant and efficient operations.
The Challenge: Pallets of binders and scattered files
When Smedvig decided in 2023 to gain better control over their documentation, they faced a massive task. The documentation was physical, scattered, and disorganised.
“We have scanned 7-8 pallets of binders. We had a lot of different documents in many different places.”
— Kim Lammenes, Operations Manager at Smedvig Eiendom
Beyond the physical archives, digital files were scattered across various inboxes, OneDrive accounts, and USB sticks. Each operations technician often had their own system, creating a dependency on individuals and a risk of data loss.
The Solution: AI-powered organisation
Smedvig partnered with Findable to sort out the chaos. Findable’s AI technology automatically categorized and organised the massive volume of scanned and digital documents.
“Findable has helped us sort everything out,” says Lammenes. “We now have a clear overview of all our documentation, and we are always confident that it is up-to-date and in accordance with laws and regulations.”
Documentation on the go
A key benefit for Smedvig has been the ability to handle documentation continuously and on the move. The threshold for submitting documentation has been lowered significantly.
“Now I tell my colleagues that if they have something we should keep, just email it to Findable. We can share the responsibility much more, and it also makes us more efficient.”
— Kim Lammenes, Operations Manager at Smedvig Eiendom
Deficiency Reports & Reduced Risk
Findable provides a color-coded Deficiency Report for each building, instantly showing whether required documentation—like service agreements, reports, and fire safety docs—is present or missing.
“It’s a simple way to ensure the quality of what we need. It’s great to have a system that notifies us if something is missing so that we can obtain it,” explains Lammenes.
The Results: A game changer for operations
The implementation of Findable has transformed Smedvig’s operations. They have moved from a vulnerable, individual-dependent system to a robust, organisation-wide solution.
Key Win: The floor extension that almost didn’t happen
Smedvig wanted to add an extra floor to an existing building, but the design consultant refused to proceed without the original structural calculations.
With Findable, the team found the critical calculations easily, making it possible to build the additional floor. Without Findable, the alternative would have been flipping through stacks of binders hoping to find it—and the project might never have happened at all.
“Now we have a system that the entire organization can access. We know it won’t disappear, and it’s no longer dependent on individuals. That’s a big relief… It’s a game changer.”
— Kim Lammenes, Operations Manager at Smedvig Eiendom
“Doing this work manually would have been extremely time-consuming.” Now they organise documents for 173,000 sqm of property with AI.
