About VELUX

VELUX is a global leader in roof windows and home improvement solutions, headquartered in Hørsholm, Denmark. With over 80 years of experience, the company operates in 35 countries and is widely recognized for its commitment to innovation and sustainability. VELUX manages an extensive portfolio of campuses across Europe, each consisting of multiple commercial buildings that require careful oversight to meet operational and regulatory standards.

VELUX is also known for its dedication to reducing its environmental footprint, with energy efficiency and sustainable building practices playing a central role in its operations. This commitment is reflected in its continuous efforts to modernise and improve the management of its building portfolio.

The Challenge

VELUX building portfolio spans nearly a century, and much of its documentation—plans, permits, and other critical files—is stored in physical binders. Some of these documents date as far back as the 1940s.

This created challenges for the Real Estate & Facility Services teams, particularly during renovation projects or when improving energy efficiency to reduce carbon emissions. Finding the right information often involved time-consuming searches through old archives.

“With an up to 80-year-old building portfolio, we have a huge amount of physical documentation and drawings. Our teams around Europe spend quite a lot of time searching through those.”

— Anders Lykke Nielsen, Senior Regional Facility Manager at VELUX

The company also needed a better way to manage compliance across its many buildings in different countries. Ensuring that all required documentation was up to date and accessible was becoming a growing challenge.

The Solution

To solve these issues, VELUX partnered with Findable to digitise its archives and make building documentation easily searchable. Findable’s AI-powered platform was customised to meet VELUX needs, including support for campuses with multiple buildings.

The first step was to digitise the existing physical documents and create a system where all new documentation could be stored digitally. Findable’s platform also introduced a live compliance report, which provides an instant overview of whether all critical and legally required documentation is in place. This feature is tailored to meet the specific regulations of each country where VELUX operates.

“By providing VELUX with efficient access to their documentation, we enable them to meet future requirements related to sustainability, reporting, and energy efficiency for their buildings.”

— Fredrik Wisløff, CEO & Co-founder at Findable

VELUX had known about Findable’s capabilities for some time and even contributed to refining the platform. This made the transition smooth when the company decided to move forward with its digitisation goals.

The Results

By digitising its documentation and adopting Findable’s AI-powered platform, VELUX has significantly improved how it manages its building information. Instead of sifting through physical binders, teams can now locate information in seconds, saving time and improving efficiency across all campuses.

The live compliance feature has proven particularly valuable, allowing facility managers to quickly verify that all necessary documentation is in order without manual audits. This ensures VELUX remains compliant with varying regulations across the 35 countries where it operates, while supporting the company’s sustainability and energy efficiency goals.
